Frequently Asked Questions
For Paralegal Services
Do you work with the general public or directly with clients?
No. paralegal services only operate strictly as a business-to-business (B2B) independent contractor providing fractional legal support to licensed attorneys. In strict compliance with Illinois ethics rules regarding the Unauthorized Practice of Law (UPL), we only accept assignments from, and work under the direct supervision of, licensed members of the bar. We do not provide legal aid or document preparation services directly to the public.
How do you handle conflict of interest checks?
Protecting your firm and its clients is a core operational priority. Before we review sensitive case files or execute a Project Task Order, you must submit the full legal names of all parties through our secure intake portal. We compare those names with our internal master database of active and former law firm clients to identify potential conflicts. Work begins only after the conflict-check process is completed and no conflict is identified.
How do you ensure client data confidentiality and security?
We maintain an enterprise-grade digital infrastructure designed to support your firm’s compliance with Illinois Rule of Professional Conduct 1.6.
- Zero-Knowledge Encryption: All files are exchanged exclusively through our dedicated Sync.com secure business data portal, which features SOC 2 certification and zero-knowledge end-to-end encryption.
- Workstation Protection: Our remote workstations utilize BitLocker full-disk hardware encryption, secure commercial VPN networks, and biometric access controls.
- Siloed Isolation: We operate on a strict asynchronous workflow model; your files are kept in complete data isolation and are never cross-collaborated or exposed to other networks.
What is your standard turnaround time for deliverables?
Our standard turnaround time for drafting pleadings, compiling discovery, or completing Westlaw research is three (3) business days after we receive all materials listed on your file-exchange checklist. Expedited or emergency work is subject to availability and a premium hourly surcharge.
Do I have to pay for your Westlaw research subscription fees?
No. Our advanced legal research services are billed at a flat $50.00 per hour, which completely includes our firm’s proprietary, premium Westlaw subscription access. No database transaction fees, per-search costs, or overhead charges are ever passed back to your law firm or your client’s invoice.
Can I bill your independent contractor fees back to my client?
Yes. Under established Illinois ethics frameworks, our itemized hourly litigation support services and flat-rate domestic relations packages are structured as out-of-pocket litigation disbursements. Because our invoices are tracked to the exact minute (in 0.1-hour increments) and map cleanly to your Project Task Order, you can seamlessly pass these lines straight through to your client’s billing statement as a billable profit center for your firm.
What are your standard billing and payment terms?
We aim to keep our premium support affordable and predictable for solo practitioners and boutique firms:
- Ad-Hoc Projects: Billed on a per-project task order basis with a standard 14-day net invoice payment window. New accounts require an upfront $350.00 security retainer deposit during their first 90 days.
- Monthly Retainer Bundles: For firms needing consistent monthly support, we offer pre-paid hour packages ($350 for 10 hours; $650 for 20 hours) billed upfront at a preferred discount rate.
- Payment Channels: We securely accept commercial ACH electronic bank transfers and major corporate credit cards via our verified Stripe processing portal.
What happens to case documents once a project is completed?
Once your project task order is finalized and paid, your completed drafts are delivered via Microsoft Word (.docx) or flattened Adobe PDF. To allow your firm sufficient time to verify delivery, case data is safely archived in your secure portal for exactly ninety (90) days. Following this strict preservation window, all temporary local downloads and cloud-cached project folders are permanently destroyed using secure electronic data erasure.
